Minutes of Meeting, August, 2008

 

 

The Lone Star Antique Tractor & Engine Association met on August 7, 2008, at the show grounds in Whitehouse at 7:00 p.m. with 54 members present.  Bob Kindig led the opening prayer.  Bill Hood cooked hamburgers for the meal at the meeting.

 

A discussion followed reading of the minutes regarding the date for the tractor display at TSC.  Joe Hoffman pointed out that the date of August 16 from the minutes was incorrect.  Charles Parmley explained that the date in the minutes was correct as it reflected the discussion at our July meeting.  However there was a conflict with the date posted on our website, so the actual display was to be August  9 instead of August 16.  The minutes were approved as read with a motion by Sherman Williams and second by Don Perkins  Tthere was no financial activity since the last meeting, so there was no treasurer’s report.

 

Old business concerning the plans for our show included the following items.

 

Bill Hood will spend the night at the show grounds the weekend of the show.  Charles had visited with Chip McClain and received approval to install two flag poles near the pull track.  He will contact the Boy Scout Troop in Whitehouse for the flag raising ceremony.  Bill Hood stated that his grandson, Trent Hood, was in that troop and he would contact the group and arrange for the ceremony.  Charles will provide the sound track of the National Anthem for the ceremony, which will officially open the show at 9:00 a.m.

 

The flag poles to be installed were donated by Jim Kuechle.  Additional materials including pipe, rope, concrete and pulleys will be needed to complete the project.  Several members will meet at the grounds to mount the poles.

 

The pull committee reported that they begin at 9:30 a.m.  Also, Charles announced that he had scheduled the EDGE&TA meeting for  9:30 a.m.

 

Charles circulated a letter from Tom Perryman acknowledging the contribution from the club in the loss of his son.  Charles also reported that Tom Perryman had called him the day before to let him know that Doc Fletcher will use some of his air time to promote our show.  Tom also stated that if we knew of any businesses that might be interested, we could have additional air time.  He suggested Future Equipment.  Other businesses also contribute annually.  In the past Ray’s Engine has donated $100.  Willie Clark also mentioned that since Allen Christian is back in the tractor business, he might be someone to contact for contributions.  Charles agreed to call Allen Christian regarding the show.    Charles mentioned that the secretary has a supply of forms to provide donors to indicate proof of donations for a tax deduction.

 

Charles also mentioned several people in the club who had been ill.  He reported that Weldon Strickland of Van was improving and able to move about now.  Also, Larry Lough had been in the hospital, but he is also much improved.  Sherman Williams continues to improve and is abve to move about well.

 

Charles announced that the TSC display will be Saturday, July 9.  He asked for a list of those who would be participating in order to report a number to the store for space allowance.  Charles also reported that the members present receive a store discount for the day and that TSC also makes a donation to our auction at the show.

 

Other upcoming activities included the Rose Festival on October 18.  There was a discussion regarding participation.  Ray Glasscock stated that it is a lot of fun.  The club consensus was to participate.  Charles reiterated that this particular event is all about looks, but it gives the club publicity.

 

October 11 is the date for the Chandler Pow Wow.  The Lion’s Club has asked our club to participate in the parade at 9:00 a.m. and place the tractors on display afterward.  Charles will have additional information later. Also, the Whitehouse Yesteryear Parade will occur on the same date at 10:00 a.m.  The Van Oil Festival Parade is October 25.    November 8 is the Syrup Festival in Henderson.  The pull at the Louisiana State Fair is either November 1 or October 24 & 25.  There was a question on that date.

 

Discussion of the club plow day included the information that several members in our club, including Don Hatton, Ray Glasscock, and Steve Friedlander have plows.   The club set November 15 as a possible date to avoid conflicts with all of the annual events that occur during the month of October and early November.

 

Charles then asked all of the committees for our show for a brief report. 

 

Stan Kindig reported that he had received a computer program from Lake Country which was actually a tracking sheet for each tractor for weights, rank and distances.  When the weight of the tractor is entered, it classifies and ranks the tractor and then after the pull the distances can be entered.   There was some discussion about classes; the pull committee will handle those issues.  There were also comments from some who have participated in the past that our track runs uphill.  However, it is the same for all who participate, so the consensus was that this should not be an issue.  Bill Hood will be the announcer for the pulls with assistance from Steve Friedlander.

 

Charles announced that Bill Hood will have the barrel train available and Elaine Hood will bring the horses for the children’s activities.  Allen McIntarfer had called Charles and stated that the air conditioning in the concession stand was completed.  Charles thanked Allen for all the work he had done on getting that project completed.

 

Ed Snider reported that the publicity committee had the publicity organized.  Nancy Lambright has handling the radio ad with KCKL 95.9 and had brought a demo of the ad for the club to hear.  After the presentation, there were a couple of suggestions regarding the ad before airing.  Sherman Williams volunteered to sponsor the ads for that radio station.    In addition, Tonya Nutt had posters available to be placed in businesses.   Nancy Lambright also announced that she had contacted the Best Western Hotel and they will block 10 rooms for $89.00, but there are no facilities for parking large vehicles. 

 

Ray Glasscock reported that they concession group will add breakfast food to the menu this year. 

Robert Gee, who is gate chairman, will not be at the show because of a conflict with work, so other members of his group will be responsible for taking care of all the gates. 

 

Larry Lough reported that the barbecue is arranged, Donnial Trimble has arranged for tables and chairs, and Willie Clark has arranged for the porta-potties.  He reminded members that we need 60 to 70 items for the auction.  Renae Howard, who is handling the door prizes, requested that we provide 10-12 nice door prizes rather than lot of very small trinkets. 

 

Charles then asked for the number of fans we would have for the building.  Willie will have 2 fans, Larry 2 fans, and Chip 1 fan. 

 

Charles reported for the safety committee since Dr. Jernigan was out of town.  One of the needs was for fire extinguishers.  Sherman stated that he had 3 or more and Jeff Holland stated that he had 1 for the kitchen.  The medical assistant for the First Aid Station will be Lindsey Traylor.

 

The last item was discussion regarding the extension of the covered area for the bleachers.  Ray
Glasscock mentioned items that might be needed.  He, along with a group of member olunteers, will handle the extension.
